A polished total cannot repair an undefined engagement
A reliable freelance quote connects an internal pricing floor with a specific offer. It states what the client receives, what work and access are included, what schedule assumptions must hold, and what happens when those assumptions change.
The checklist below is a review aid, not a contract generator. Complete an item only when the answer is written or supported by evidence. A remembered conversation is weaker than a clear proposal, estimate, or agreement that both parties can inspect.

Start with the economic boundary
Calculate the hourly floor from the annual take-home goal, usable calendar, billable utilization, tax planning allowance, overhead, and fixed costs. Then translate that floor into the unit the client is buying. A project fee uses all project hours, direct costs, and bounded risk. A day rate uses the complete reserved day. A retainer uses the capacity held for the client.
A quote below the floor can be intentional, but the reason should be explicit and limited. Portfolio value, learning, community service, or a strategic introduction may justify a budgeted exception. They do not change the arithmetic of the standard offer.
Write assumptions beside the schedule
A date is credible only when the inputs, decisions, and access required from the client arrive on time. State the project start, delivery milestones, review windows, approval owner, and what happens after a missed dependency. This prevents client delay from silently creating a rush request later.
Include the communication pattern used in the estimate. A weekly call with one decision maker is different from daily access across several teams. If access expands, the effort or price may need to change even when the visible deliverable does not.
Make changes a normal workflow
A change process is not an accusation. It is a shared method for assessing new information. Record the requested change, effect on hours and direct costs, schedule consequence, revised fee, and approval before the added work begins.
Review the quote once from the client's perspective. Can a reasonable reader identify the outcome, price, responsibilities, timing, and next action without relying on a call? Then review it from the business perspective. Does the engagement still fund the capacity and costs it consumes?
The price, deliverables, calendar, access, and payment schedule should describe the same engagement. If one section promises more than another section funds, the quote is not ready.
Limitations and professional review
This checklist does not create a binding agreement, interpret employment classification, allocate intellectual property, address privacy or security obligations, or determine taxes. Legal and regulatory needs vary by work and jurisdiction. Use qualified advice where those issues are material.
The completion score measures only the boxes selected. It does not inspect your proposal or judge the quality of the underlying evidence. Treat unresolved items as prompts for a deliberate decision, not as a reason to select every box mechanically.
